Privacy Notice

We strive to do the right thing with your data, keeping it safe, using it where appropriate and legal and working with you to ensure it is up to date.

This privacy notice sets out the data we hold, why we hold it, what we do with it and how you can access it if it relates to you.

This policy is in relation to Trilby Multimedia Limited, for the privacy notice relating to TrilbyTV, please see the TrilbyTV Privacy Notice. If you are looking for the privacy notice for a customer of ours please check their website.

For the purposes of providing software development services, training, web hosting and media production we may hold details of you as the client and members of staff within your team. This data will include, Names, Contact telephone numbers, Email addresses, and Postal addresses. In the daily course of business, this information may be transmitted by yourself to us and vice versa by email, web upload, or gained from a website. The data will be held by us in our email programs on office computers, in our CRM (see links below), on personal device address books such as phones and tablets, and used for contractual purposes on documents and in our accounts package (see links below).

Data will be held for as long as we require to carry out our contractual relationship. Often it will be retained beyond that contract in order to provide support for any product or service delivered and in case access is required to historical information.

Where ever data is held it is always behind a password, pin code or other login credentials. Where possible data is encrypted and where possible we will use 2-factor authentication. Data is not shared with third parties other than for the purposes for which we have been commissioned, engaged or instructed and for us to run our day-to-day business.

Where we host or hold information on servers on behalf of our clients, then we treat this with the same level of respect and security that we hold our own data. In most cases this is encrypted and in all cases, access to the data by our team is limited to only those who require access. Any access is behind login credentials which we make every effort to ensure are secure. Where possible we will use 2-factor authentication.

When we build systems for clients the control of the data and access to the database, if there is one, is handed to the client to manage. We cannot be responsible for who and how access is passed to, beyond our relationship with the client. However, we make every effort to incorporate security and privacy into anything we build and will encourage our clients to ensure best practice is in place to maintain data integrity and security.
